The Harold Grinspoon Foundation (collectively referred to as “HGF”, “we”, “us”, or “our”) is committed to respecting your privacy and protecting your personal data when you engage with us through the PJ Library website (www.pjlibrary.org), the Resource Center (https://prof.pjlibrary.org/), the Community Program Professional Dashboard (https://community.pjlibrary.org/), or when you use any part of the PJ Library book subscription program (together, the “Service”).

1. Information We Collect & Why
When you engage with PJ Library, we may collect the following types of personal information to support your participation and enable delivery of our services: ;
- PJ Library Book Subscription Program
- Contact Information – Your name, email address, phone number, mailing address, and your child’s name to enroll them.
- Military Service – If applicable, we collect details to ensure books are shipped to the correct base address.
- PJ Library Grandparent Enrollment
- Contact Information – Grandparent(s)' name, mailing address, email, and phone number.
- Donation Information
- Gift Details – Donation amount, and tribute or honoree name(s) if applicable.
- Payment Information – Credit card details used to process your donation.
- Professional Organization Information
- Professional Contact Information – Name, title, organization, business address, phone number, and email.
- Account Registration
- Login Credentials – Username and password for accessing your account.
Sensitive Personal Data – We collect limited sensitive personal data including religious affiliation for your participation in our Service and your child(ren)’s name and age to personalize book selection or enrollment in age-appropriate offerings.
We do not use personal data to make automated decisions.
2. How We Use Your Information
We use your information to provide and improve the PJ Library Service, including to:
- Enroll you or someone else in a PJ Library program and create your account.
- Deliver the Service and coordinate with our local partners to manage program participation in your area.
- Send welcome messages and confirm submitted information.
- Provide updates and communications, including newsletters, important service announcements, and information about programs and offerings that may be of interest to you by mail, email, and text message.
- Respond to any inquiries or comments and provide customer support.
- Process donations and related acknowledgments.
- Maintain and improve the functionality and effectiveness of the Service.
Your Choices
You are in control of your personal data. Here's how you can manage your preferences:
- Limit the Information You Provide - You may choose to withhold certain personal data. While you can continue browsing the website, some services - like program enrollment and participation - may not be available without the requested information.
- Manage Communications - You can opt in or opt out of marketing emails, texts, newsletters, and updates about our services. You can manage your preferences by texting “Stop” or by clicking the “Unsubscribe” or “Update Your Preferences” link in any of our emails. You can also contact us at Privacy@HGF.org.
3. Sharing Your Information
We respect your privacy and only share your information in the limited ways described below - we do not share personal information about children with third parties for marketing or advertising purposes.
- Service Providers - We engage trusted service providers to support operations such as website hosting, IT and analytics, customer support, donation processing, and book delivery. These organizations are bound by contractual safeguards to protect your data and may only use your information as instructed by HGF.
- Program Partners - We work with local philanthropic, educational, religious, and community organizations to deliver PJ Library in different areas. We may share your information with the partner responsible for your postal code so they can contact you about relevant programs and services.
- Legal Obligations & Business Transitions - We may disclose your information if required by law, legal process, or in connection with a major organizational event (such as a merger, acquisition, or dissolution). We will only do so when necessary to protect rights, comply with legal obligations, or carry out the transition.
4. Your Rights & Choices
Under existing US and Canadian privacy laws, individuals have the following rights over their data, subject to certain exceptions. These rights may vary depending on where you reside and are subject to legal limitations.
Please note that we are required to verify your identity before we can process any of the requests described in this Section; and at our discretion, deny your request if we are unable to verify your identity.
- Right to Access: You can request access to the personal data we hold about you.
- Right to Know: You can request confirmation of whether your personal data is being processed and to know the categories and specific pieces of personal data we collect, use, and disclose.
- Right to Correct Inaccuracies: If your information is incorrect, you have the right to request corrections.
- Right to Delete: Subject to certain exceptions, you can request deletion of your personal data.
- Right to Limit Use of Sensitive Personal Data: We already restrict the use of your sensitive personal data to collect and use only what is strictly necessary to provide our services; however, you have the right to request that we limit or no longer use and disclose your sensitive personal data, understanding that this may affect participation in our programs.
- Right to Withdraw Consent: Where we rely on consent, you may withdraw it at any time, subject to legal or contractual obligations.
- Right to Non-Discrimination: You will not be discriminated against for exercising your rights.

5. Data Retention
We retain your personal data only for as long as necessary to fulfill the purposes outlined in this Privacy Notice, including to provide you with our Services, comply with our legal obligations, resolve disputes, enforce our agreements, and support business operations.
Where personal data is no longer required for the purposes for which it was collected, we will delete, de-identify, or anonymize it in accordance with our internal policies and applicable laws.
If we process your data based on your consent and you withdraw that consent, we will delete your data unless we have a legal requirement to retain it.
6. Security Measures
Any personal data that you provide to us is stored on servers with restricted access, and which are protected by protocols, procedures and best practices designed to ensure the security of such information. However, no server, computer or communications network or system, or data transmission over the Internet, can be guaranteed to be 100% secure. Therefore, while we strive to protect your personal information, we cannot guarantee absolute security.
7. Cross-Border Data Transfers
The personal information we collect is processed at our offices and in data processing facilities operated by authorized service providers located within the U.S., which may have different laws and data protection compliance requirements to those that apply in the country in which you are located. We ensure that appropriate safeguards are in place to protect your data, including contractual safeguards to protect your information during such transfers.
Without limiting the above, we will take reasonable steps to ensure that personal information regarding Québec Data Subjects that is processed outside Québec or entrusted to a person outside Québec will not be used for any purpose other than for the purposes that it was collected (or other purposes permitted/required by applicable law), or disclosed to third parties, without the consent of the relevant data subject(s).

8. Children’s Privacy
PJ Library’s account registration and data collection practices are not intended to collect data directly from children under 13 – you may provide us with limited information about your child to enroll in our Services, but we do not knowingly collect information directly from children. If you believe a child has provided us with their information, contact us at Privacy@HGF.org .
9. Updates to This Privacy Notice
We may update this Privacy Notice periodically to reflect changes in legal requirements, best practices, or our data handling practices. The "Effective Date" at the top indicates when the notice was last revised. Continued use of our website after updates constitutes acceptance of the revised notice.
